One “Tell Tell” Sign that You Maybe Screening Calls

Have you called an office and were left with the impression that the person with whom you wanted to speak was in, though you were informed that they were out of the office?  What gave you that impression?

Asking a client or customer his/her name before informing him/her that the person with whom they would like to speak is out or the office or unavailable; may send the message that the person is avoiding or not taking calls from them personally.  This may or may not be true.  When you screen calls state that the person is
unavailable or out of the office before you ask for a name.  E.g. “Ms. Duncan is out of the office. May I take a message or would you like her voice mail?”   Or “Ms Duncan is in a meeting. May I…………………………………………..?   Notice that we did not ask for a name; usually the client will provide that information.  “This is Donna Smith. May be you can help me.” Or “this is Donna Smith. I would like her voice mail.”
